This policy explains what the TracFax mobile application (com.tracfax, “the app”) collects, why it collects it, and who it is shared with. TracFax is a field-service application used by workers on behalf of their employer. Accounts are issued by the employer; the app is not offered for general public sign-up.
| Category | What | Why |
|---|---|---|
| Account information | Name, email address, and the employer or project you are assigned to. | To sign you in and show you the work assigned to you. |
| Location | Precise and approximate device location. | To record clock-in and clock-out locations, to sort inspections by how near they are to you, to place properties on a map, and to stamp inspection photos with the place they were taken. |
| Photos and camera | Photos you take in the app or choose from your device, and any location stamped onto them. | To attach evidence to inspections, checklists, and task comments. |
| Files and documents | Documents you choose to attach. | To attach them to a task or inspection. |
| Signatures | The signature you draw on safety and inspection forms. | To record sign-off on Job Hazard Analysis and inspection forms. |
| Work records | Notes, comments, checklist answers, inspection results, timesheets, and safety forms you submit. | These are the records the app exists to create, and they belong to your employer. |
| Device and connection state | Whether the device is online, and the connection type. | To queue your work while you are offline and upload it when you reconnect. |
The app requests camera and location permission the first time a feature needs it. You may decline. Declining location prevents clock-in and geo-stamping from recording a position; declining camera prevents taking photos in the app. The rest of the app continues to work.
Information you enter is transmitted over an encrypted connection (HTTPS) to TracFax servers and is made available to your employer and to the people in your organisation with permission to see that project or property. This is the purpose of the app: the records you create are your employer’s business records.
Beyond that, information is disclosed only to service providers who host the system on our behalf, and where we are required to do so by law.
Data is stored on TracFax servers hosted in the United States. A copy of the work assigned to you is also stored on your device so the app can be used without a network connection; that local copy is removed when you sign out or uninstall the app.
Work records — inspections, timesheets, safety forms and their attachments — are retained for as long as your employer requires them, because they are your employer’s records. Account information is kept for as long as the account is active.
You can withdraw camera or location permission at any time in your device settings. You may request access to, correction of, or deletion of your personal information, including deletion of your account, by emailing support@tracfax.com.
Because work records belong to your employer, requests to delete them are directed to your employer, and we may be required to keep them where your employer or the law requires it. We will tell you if that is the case.
TracFax is a workplace application intended for adults. It is not directed at children and we do not knowingly collect information from anyone under 16.
If this policy changes we will update the date at the top of this page.
