Managing Your Service Providers




As a property manager, the TracFax system allows you to specify “preferred” service providers (the ones you know and trust) and “blocked” service providers (the ones you do not want to do business with or receive bids from). It also allows you to invite service providers you have used before to join TracFax so they can bid on your projects.

This guide will show you how to:

  • Add a Service Provider to Your “Preferred” List
  • Remove a Service Provider From Your “Preferred” List
  • Invite a Service Provider to Join TracFax
  • Block a Service Provider
  • Remove a Service Provider From Your “Blocked” List

Adding a Service Provider to Your “Preferred” List

If you have already worked with one or more service providers and were satisfied with their work, you can add them to your list of “Preferred” service providers within TracFax so that they can easily be invited to bid on your future projects. To add a service provider to your “preferred” list:

Click on the “providers” button from the menu bar at the top of your screen. In the Providers screen, click on the “add provider” button at the top right of the screen.

In the “Add Service Providers” pop-up, enter the email address of the service provider. If there are multiple email addresses for this provider, separate each one with a comma. You can also type an optional message in the “message” box which will be sent to the service provider along with their invitation if they are not already registered with TracFax.

Click on the “send message” button at the bottom of the “Add Service Providers” pop-up.  If the specified provider is already registered with TracFax, they will automatically be added to your list of preferred providers.

Removing a Service Provider from your “Preferred” List

To remove a service provider from your “preferred” list, click on the “providers” tab at the top of the TracFax screen and select the “preferred” tab on the left-hand side. Locate the service provider in the list and click on the “Remove” icon at the right-hand side of the screen alongside their name.

Inviting a Service Provider to Join TracFax

If there is a service provider that you have already worked with who is not already registered with TracFax, we will invite them to join the service automatically if you enter their details as a “preferred” service provider. When they subsequently join TracFax, they will automatically be added to your list of preferred service providers.

 

 

Blocking a Service Provider

If there is a service provider that you would rather not work with (perhaps due to a bad experience with them on a previous project) you can add them to your “blocked” list. These service providers will not be matched to any of your projects, even if they meet the criteria. They will also be removed from any current projects immediately when you add them to your blocked list. Note: You can only block a service provider who has been associated with one of your projects within TracFax.

First, locate the project in the TracFax system that the Service Provider is associated to (for details on how to do this see “Managing Your Projects”). Open the project dashboard by clicking on the “dashboard” icon in the Projects screen.

Locate the service provider you wish to block from the list of providers on the project dashboard. Click on the “profile” icon alongside the service provider’s name to be taken to their profile.

From the “Additional Actions” box on the right-hand side of the screen, click on “Add to Block List”.

You will be asked to confirm whether you want to block this service provider. Click Yes to confirm.

Removing a Service Provider from Your “Blocked” List

To remove a service provider from your “blocked” list, click on the “providers” tab at the top of the TracFax screen and select the “blocked” tab on the left-hand side. Locate the service provider in the list and click on the “Remove” icon at the right-hand side of the screen alongside their name. They will now be eligible for matching with your future projects.
